PURPOSE OF THE PROCESSING OF PERSONAL DATA

The purpose of the processing of personal data is the requirement in the Finnish Associations Act (503/1989) to maintain a member register as well as information on membership fees and contact information for the operations of the association. The purpose of the processing the personal data in the client register is to collect contact information from the company’s event participants.

PURPOSE OF THE REGISTER

Member Register

The member register contains data the accepted member has provided to be used by the association. The following data is collected when a member joins the association:

• first and last name
• e-mail for member newsletters and other contact
• optional information: phone number

The personal data saved in the member register is retained for the duration of the membership.

Client Register

The client register contains the data the client has provided to be used by the company regarding event participation.

The following data is collected for event participation:

• first and last name
• e-mail for contact
• phone number for contact

Parents are responsible for the provision of children’s personal data.

All sensitive client data is erased immediately following the event.

REGULAR SOURCES OF PERSONAL DATA

Member Register

The data is collected directly from accepted members. The members have the option to update their data by contacting the register administrators.

Client Register

The data is collected directly from clients when they sign up for events. The clients have the option to update their data by contacting the register administrators.

REGULAR DATA DISCLOSURE

The data in the member and client registers is not disclosed for commercial purposes nor to third parties.

REGISTRY SECURITY PRINCIPLES

The association has organised appropriate data security measures and employs suitable technical solutions to prevent outside access to both digital and physical data materials.

In principle, only the register administrators have access to the data.

RIGHT TO ACCESS PERSONAL DATA

The registered have the right to check their personal data. A written and signed request for data is to be submitted to the register administrators.

RIGHT TO RECTIFY PERSONAL DATA

In case a registered individual notices deficiencies or inaccuracies when checking their data, they have the right to request the association of company to rectify the data appropriately. The request to rectify is designated to the register administrator in either writing or via e-mail.
